Day of Coodinator

YEAH! We have a day of coordinator!

It was a lengthy debate on whether or not to hire one. Since I am a little OCD, I have been pushing to have one to make sure I don’t feel any of the snags on our wedding day.

After looking into hiring one, my mom suggested asking one of our friends who will be attending the wedding, and instantly I thought of the perfect person. Our day of coordinator will also be doing a reading and she got married last October, so she has a plethora of wedding knowldge. I know she will make sure everything goes perfectly.

So now I need to start getting things organized for her. She is going to make a trip up to New York with me in the spring to meet everyone. I thought I would make a phone list of everyone she could possibly need to get in touch with the day of; photographer, videographer, florist, etc… Also, I thought we should make an “ideal” agenda for the day, as far as when the guests should sit for dinner, cake cutting, the first dance, etc.

What am I missing? What things have you made sure that your day of coordinator knew and had access to?

My DOC says’s she’ll do this:

Available via email and phone anytime starting 3 months prior to the date of the event
2 in-person meetings starting 4 weeks prior to your wedding day
Review all contracts and contact all vendors the week of the event
Set up a ¢¢â€š¬…”Day Of¢¢â€š¬? timeline
Coordinate all vendors based on final timeline decisions
First vendor to arrive to make sure that all other vendors are ready to go on time
Receiving deliveries and greeting vendors on wedding day
Lining up and cueing the wedding party when it is time to walk down the aisle
Gathering family members/wedding party for photographs
Ensuring proper placement of wedding favors
Wedding programs, wedding bubbles, exit petals, disposable cameras, etc.
Work closely with Maitre-d’ and bridal attendant
Making sure that band, dj and mc play all songs requested
Guiding you graciously through your day
Keeping track of specialty items and then packing everything up
Distributing gratuities or final payments to all vendors
Arranging transportation for you at the end of the event
Ensure vendors provide services as requested
Wedding Emergency Kits - if a need arises, we probably have the solution in one of our kits; we come prepared with everything but the kitchen sink!

one thing i hadn’t thought of that my doc did was to have typed up all wedding party members in order that they were to come down the aisle. this included mothers, grandmothers, etc. it helped out at the rehearsal where everyone is chatting and is excited. she was able to hand that over to the cathedral coordinator. way less stress that way!

oh, and she started contacting all vendors 2 weeks prior to the wedding.

Copies of all of your contracts. Our DOC went through all of the contracts with us at our first meeting.

This way your DOC will know exactly what services each vendor is providing. If something is missing/not done, she’ll have the contract to back her up and she won’t ever have to tell you there was an “issue” that day!

OH MY GOODNESS! She has saved me Sooooooooo much $$$$! She knows so many vendors and has worked out deals with them, so any referral fees that they want to give her, she passes along to us!

I could not recommend anyone else better. I went through the worst time trying to find a DOC that would work within my budget…TRULY work within it. She has been my life saver and my DAD LOVES HER TOO…and that’s saying a lot!

She showed me an example of her timeline - SO DETAILED! Exactly what I needed!
