The good news is that the invitations are all ready to go, and the only thing left before sending them is to include hotel information and a map of where it is along with the ceremony/reception location. I called up quite a few hotels inquiring about blocking rooms, and most of them make you sign a contract making us responsible for filling 80% of the rooms or paying for the unaccounted rooms. This freaks me out a little bit since I’m not even sure all of our out of town guests will stay in the hotel that we pick. What is the general rule as far as how many rooms you should block off?

I tried picking a location where it’s easily accessible for public transportation, and I’ve been trying to keep it near the theater district or Herald Square. The theater district for most of my guests since they are musicians and Herald Square since Koreatown is there, along with the world’s largest Macy’s. I haven’t had any luck as far as figuring out how to go about finding hotels, but all I can really do is call right?

I’d love to hear about how you ladies are going about finding a hotel for your guests. Will you have transportation to and from the wedding for your guests? We’re thinking about renting a shuttle bus so that it’s easy for our non-New York City guests and ensure they will be on time for our wedding.

The best part about the hotel planning is that I’m bonding with my father in law who is staying with us (along with my mother in law) for about a month. He’s so excited to help and has great insight to these aspects of the wedding that I have no idea about! shy

This is totally off topic but who is excited about the weddingbee gathering in Feb?

hey miss poppy! did you try hilton hotels? that’s where our guests will be staying and we weren’t obligated to anything. plus we got an amazing deal! ahhh the joys of atlanta. things are so much cheaper there… ^_^

as for transportation… we’re still trying to figure out if we’re going to have some sort of shuttle service or not.

Did you try Best Western? They are the only ones who block rooms in our area and they don’t require us to put down a cc or guaruntee a number. They release the extra rooms 1 month before the wedding.

Hi, I reserved a block of rooms for my NYC wedding later this month. It turns out the company (a national chain) then ran a promotion offering a rate LOWER than the one we had booked. It was a big pain. We had tried so hard to make things easier for our guests, but in the end I just felt kind of dumb–we had been trying to save our guests money.

I don’t know when you are getting married, or if you need everyone to stay at one venue, but you might want to suggest a few hotels in the vicinity but encourage people to search discount sites (e.g., travelzoo), too.

Hi Miss Poppy, I dealt with this a few months ago. It was also worded in our contract that we pay the difference, but in the end I finagled a way out of that. I don’t remember how, sorry! I just said, there is no way I’m going to be responsible for that!! So we have two nights of rooms booked in our hotel the wedding is held in. I figure I’ll take one, our photographer will get one, and then random family. I was also totally scared about the whole, “What if it doesn’t fill up?” thing. But now that the responsibility is on the guests, I feel a little better. Whatever isn’t booked by a few weeks before will just go back into rotation. :)

Our wedding is out on Long Island. No can’t help with NYC hotel situation…but I must say, I’m psyched about the weddingbee gathering in Feb :D

wow. i thought all chains would be the same… good luck!!

oooooo peach muffiins. must be talking about “Folks” used to be called “Po Folks” hahaha~ mmm yeah, i considered making my own cake/muffins for the wedding with their peach muffin mix. thought it might get too crazy before the wedding tho.

you need an “affiliation” so maybe try telling them the companies where you and your fiance work, alma mater, etc…their rates are very good,
they don’t block rooms, but guests can get discounted rates at their rockefeller, midtown, and/or downtown locations. i’ve never actually been to either of the hotels.

if rooms in the city are filled (i looked and all hotel blocks seem to be like $300-400), maybe try nj hotels that are in walking distance of the path station…like hoboken, jersey city, weehawken, etc.

if it is in your area, try courtyard marriott. they do not require 80% booking or a contract.

I’m getting married at Bridgewaters, by South Street Seaport in Sept. Most of our guests are staying at the downtown Club Quarters Hotel on William Street. They have 2 more Club Quarters locations: one by Rockerfeller Center and the other one in Midtown b/w 5th Ave and Times Square. I highly suggest having your guests stay there since the rooms are pretty nice and much cheaper than the big chain hotels. You just have to make sure you book ASAP.
