This task is very difficult to do. Of course all the coordinators I met with, and caterers and florists I’ve been speaking with/meeting with don’t understand all the different areas of our venue or the flow of our event. I haven’t gotten a layout plan yet as the venue doesn’t give it to you until you do a walkthrough and layout with the site coordinator. I got sick of sketching the grounds of the estate on every single vendor meeting on some scrap (which I’d not-too-brightly toss afterward), so I drew this:

I traced over a Google satellite map, so everything got a bit cramped. I am by no means proud of the quality of this sketch (horrible [non]use of line weight). Hopefully it helps my vendors understand the venue better, rather than confusing them. I get a little dizzy looking at it. Crap, I just realized I forgot draw in the DJ stand and dance floor. Ah well, copies are printed. It’s too late now.

i did the same thing, except with out the google map help. i opened up illustrator and mapped out our venue. i showed the table locations with the proper colored linens, showed the cake table and linen color, band, stage, food stations, etc… i made sure to note what size each of the tables were, too. it really really helped. i gave one to the florist and one to the reception venue.
