Tent Sizing & Pricing

March 23rd, 2007 @ 1:03 pm by Mrs. Bluebell

Everyone had lots to say about my tent post yesterday, thanks! I am definitely feeling less soul-killed than before! happy07

[from unrelated www.quecheeinn.com]

But all these numbers everyone keeps throwing out don’t have quite enough information to directly compare, so I’d like to ask everyone who has rented a tent (or gotten a precise quote) to leave a comment with the following info:

1. cost of tent
2. size of tent
3. number of guests
4. anything other than the tent included in the cost (including flooring, lights, A/C, and all rentals)
5. if it’s for both ceremony & reception, or just one or the other

and maybe throw in your location too!

Hopefully this will end up being a great reference for anyone else looking to rent a tent! I really had no idea how large a tent we’d need, or how much all this would cost, so ideally this will give everyone interested a good idea of what the running rates & sizes are for a wedding like theirs!

I’ll start - my quote was around $2,600 for a 40×80 foot tent alone, and about $6,300 once you add in a dance floor, lighting, a second 20×20 foot tent for cooking, tables for all guests + 20 extra tables for the buffet & cook tent, china, glasses, silverware, and linens for the whole area. There will be about 120 guests, and the tent is for the reception only. The original size estimate they gave us was smaller though, so we might not need one quite this big - that’s my other reason for asking how big everyone else’s tents are!!

I’m still planning so I can’t be of help, but how is it that you need 20 tables for the caterer? Do catering companies usually bring their own set up? thanks!

1. roughly $3,500 to rent
2. i don’t know the exact dimensions but it holds up to 225 people
3. i’m only having about 150 guests so there’s more room for walking around, etc.
4. renting the tent includes use of tables, chairs, linens, glassware, utensils, the standard dinner table things…wood dance floor, and the great thing is that the area is carpeted underneath the tent and not grass
5. just for reception

my venue is in bloomfield, nj and they hold the ceremony in the outdoor garden, they have an indoor solarium if it rains too, and also a wrap around porch that is covered for the cocktail hour…

again, FI and i fell in love with this place and put down a deposit the day we saw it. email me at olivet51@gmail.com if you want more details.

4. anything other than the tent included in the cost (including flooring, lights, A/C, and all rentals) - dance floor, lighting, tables, chairs, linens, dishes, and porta pots (the nice ones) and all of that - $6450
5. if it’s for both ceremony & reception, or just one or the other - just for the reception. I am renting additional garden chairs, for $600 for the ceremony.

Thanks everyone, this is so helpful!!! Keep ‘em coming!! :-D

eskay - the 20 tables are for the entire buffet area, 2 bars (one for cocktail hour at that location and one by the reception), and the cook tent. Our caterers are really a restaurant that just does a bit of catering on the side, so it’s entirely possible that real catering companies would have their own equipment for that, but our guys don’t!

2. size is 40×60
3. number of guests is 180-200

5. supposed to be just reception but if the weather is too bad to get married outside then we will get married under the tent.

40 x 80 century pole tent
porta floor and carpet for entire tent (more expensive than renting the tent!)
dance floor
string lights
globe lights
2 4′ portable bars (we need three)
exit signs (mandatory)
26 rectangular tables
chivari chairs
flood lights
linens and napkins
rain gutters
2 walls with windows
2 walls without windows
cook tent
cook tent floor

does not include china, flatware, serving dishes and glasses (provided by caterer)

qoute from Taylor Rental in Northern NJ for the grounds of a historic home in Northern NJ. includes set up and take down.

total just south of $10,000

doesn’t include sufficient lighting or a canopy to restrooms in the event of inclement weather.

this has been one of my better vendors. they are trustworthy and honest and the quality of the rentals is good.

Sara— where are you renting all of your items from? I’m also in CT– and am thinking about searching around for a better deal on rentals, would you mind sharing who you’re using?

Thanks!

Currently (but I’m still shopping around a bit!)

1. Tent –40×60 Century Tent

3. Everything is a la carte….so here is what I’m currently planning on getting:
18×18 dance Floor
cathedral sides
globe lighting
side tent for band
band risers
2 bars
16 8′ tables
chivari chairs
linens
china
silverware
glassware
Convection Oven (for caterer)
Service 8′ tables

Total– around $9,000

Doesn’t include sufficient lighting– so I need to find a lighting designer.

This is in CT.

I just got my rental quote, and I understand your pain. Adding to my stress about them is that I’m getting married on a Sunday and most local rental companies (and all the ones with the supplies I want ) don’t work on Sunday. My location would charge extra for Saturday delivery and Monday pick up. I finally found out that one will deliver on Sunday for an extra charge, I was ready to pay that and then I found out that they waive that charge just for my location (it would have been great to know all this from the start).

Anyway, here is the initial proposal. This is for Hawaii (Honolulu area).

Chairs: 200 Chivari (with cushion) — 1,700.00
Tables: (250 60″ round and (2) 8′ Banquet — 254.50
Linen: 90 round & 2 table drapes - 290.00
Rentals - Lighting —- 270.00
Tabletop (plates/flatware/water glasses) — 690.00
Tenting: 30×60 Clear Top - 1992:00

Grand Total — 5,196.50

Weddding on LI
- 160 People
- 40×60 Tent $4500 - after reading your posts, do you think a 40×60 tent w/ band, dancefloor and seated dinner is large enough???
- 25 Large Globe Lights w/ dimmers and attendants $2000 (the best quote we could find after a TON of searching).

Would love to hear any thoughts!
