Visualizing The Big Day

Up until now, pretty much all the talk about the wedding has been hypothetical. We knew people were going to come and they were going to sit, but we didn’t know who was going to come or where we were going to put them. This became even less clear when it turned out we were no longer getting a free tent (we were originally going to get it through Mr. Hummingbird’s father’s work but as he is leaving that job at the end of December due to its crazy stress, the tent was out of the question).

Sweetly, Mr. Hummingbird’s father jumped in to save the day and offered to cover the cost of the tent we would now need to rent, so we got to work, scouting out vendors to fill our location needs. We settled on a package last week and as an added bonus, they sent us a prospective tent floor plan so we could start piecing together what our big day will look like. Check it out!

We’ve basically worked out who is going where, but we have a slight issue in that we have a few more people on our guest list then we have seats. I know not everyone will be able to come since we’re getting hitched during the summer which is Prime Canadian Vacation Time, but I was just wondering, for those of you who have gone through this part of things, how did you deal with guest overflow? Should you expect that everyone is going to come, or do you account for a certain number of people to decline? As agreeable as our friends are, I don’t want to have anyone sharing a chair or sitting on anyone’s lap.

great seating chart! are you having a head table or are you sitting at table 1?

Only about 50% of our guests came because it involved travel for many of them. I would save your energy and not do a seating chart until people have RSVP’d. I think in general people expect 10-20% of guests not to come if it’s a local wedding.

I’ve been told you should not have a seat for everyone, instead maybe you could get some bistro tables for people to sit drinks on etc? In my case, we are having a band, so I would much rather people NOT have a place to sit…but be on the dance floor!

Yeah, I definitely wouldn’t bother trying to pin down seating assignments until after you have RSVP’s back. I too have heard kate’s 10-20% average decline rate, but of course it depends a lot on how many people you invite, how close they are to you, and whether travel is involved, etc. But we were definitely surprised that some people couldn’t make it and then on the other hand surprised that some who we didn’t think probably would come pulled strings and made it happen. Regardless, if you lose 5 people from Table 4 and still have 2 extras at Table 8, you’re going to essentially have to redo the place seatings from scratch once those RSVP’s start coming in anyway. So save yourself the pain now and just do it once. :-)

We’re inviting 230. My planner said normally she would expect 180, but since we are about 75% OOT, she thinks we’ll get more like 165-170. I won’t even begin attempting the seating chart until the RSVPs start rolling in!
