My Love Affair with Excel

I’ll admit it, I have just the slightest addiction to Excel. It all started with a job where I claimed to have a little more Excel knowledge than I actually did. Hmm. But the white lie got me in the door and I soon became entranced with tracking everything with spreadsheets.

So just days after Mr. Stiletto and I got engaged, it came as no surprise that we already had a spreadsheet going for creating our guest list and managing details about possible reception venues. However, there was a slight twist to our spreadsheet happiness - Google Docs. While we easily maneuver within Google Docs because we have Gmail accounts, those of you who don’t can simply set up a Google account and you’ll be ready to spreadsheet.

Mr. S and I share our spreadsheets with each other, so we can both have access to them anytime, anywhere… and even at the same time! There’s even a chat feature within the document so we can chit chat back and forth as we make changes to the document. Genius!

Things started off innocently, at first. The document was simply called “Wedding Budget”. And yes, it started off that way, but it has quickly ballooned from there to a whopping 12 worksheets. Ahh!

Snapshot of our “budget”… but not a true one, just a mish mosh of what my parents are paying for broken down into scenarios of 110 and 120 people… my and Mr. Stiletto’s budget is hidden. I’m not divulging too much information here. :)

To share with all of you planning brides, here’s a list of the worksheets I’m maintaining and accessing each and every day:

  1. Current Budget
  2. Vendor Contacts
  3. Registry Ideas
  4. Songs (reception & ceremony)
  5. Ways to Involve My Mom in Planning
  6. Quotes (from different vendors)
  7. Dates (sending invitations, RSVPs due, etc)
  8. Hotel Block Information
  9. Needs - Detail (each item of ceremony and reception that needs purchasing)
  10. Reception Timeline
  11. Random Numbers (I have no clue what this is, but it’s on there!)
  12. Vendor Payments (schedule of what is owed to whom and when)

A tad obsessive? Possibly. But it keeps things in order and maintains my sanity to some degree. It’s also great, as when we’re looking for rehearsal dinner locations I can throw a link and price quote into the spreadsheet, along with the preferred contact at that location, and I don’t have to search for the information later on.

As I’ve mentioned, I also have a spreadsheet for our wedding guest list, but we keep that separate so that we can share it with my MOH, easily providing her with contact information for everyone to be invited to the bridal shower. When we’re ready to send out save the dates and the invitations, we can easily download the document and run a merge!

Anyone else out there find a good way to manage information as they continue to plan?

Like you, Miss S, I’m in love with Google spreadsheets. We started off using an Excel file, but quickly encountered the version control issues. We even use Google Docs as our contract repository. :)

my sheets don’t look nearly as organized and neat as yours, but yes, loving the google docs. thanks for the helpful suggestions for more sheets i can add!
has anyone used the google docs template for wedding planning?

Mr. MagPie and I share a Gmail account for wedding planning purposes, and have a TON of Gdocs — everything from the dreaded budget to must-play songs!

Our excel-based wedding workbook is a god send to me too, although I don’t have quite as many spreadsheets as you….We have one that’s our main budget, and we just use separate columns to track the accepted quote, the amount paid to day and then we have a handy dandy column that I check almost every day called “wedding day balance” so at a glance I know how much I’m going to be kissing goodbye into vendor envelopes the night before the wedding. Our additional spreadsheets are so we can track the details of the expenses and purchases. For example, we’re renting a luxury B and B for family and the wedding party to stay in if they choose, and are asking them to kick in a small portion, so I have a spreadsheet tracking who’s confirmed as staying there, and who has paid. Sigh. I heart my spreadsheets

Our wedding website, Weddingwindow, has behind the scenes worksheets like this, so I’ve been using that. But we use Google docs for any non-wedding organizing!

Ahhh Google Docs — I raved about them so much I converted my entire workplace to using them! FI and I use the calendar feature daily — we constantly update our schedules so we know when we’ve got things planned and never have to say “I have to check with him/her” before making plans. The FI loves that!

I swore by Excel and Google Docs for the wedding! I use Excel for everything now. Like you, my job forced me to learn Excel better and I’m so glad that it did!

yes, i’m a spreadsheet lover also… okay, maybe a spreadsheet compulsive. i love doing the timeline in excel… just plugging in one time and having everything else run backwards off of that

I also use Excel and the weddingchannel.com has a pretty good wedding budget widget that lets you enter the estimate and what you end up spending for each item/category. It’s very helpful.

This is so awesome! I’m gearing up to start some g-sheets right now. I have one favor to ask, though - please please please share how you’re involving your mom! I’m planning from a distance, and everything I ask my mom to help with, she sidesteps! So weird!

I’d be so lost without my Google Docs - thanks for showing them some love, Miss Stiletto! Don’t tell, but Google Docs makes it so much easier to plan a wedding at work AND at home… hahaha…

Excel is the best, but GoogleDocs is a little funky to use on my FH’s Mac. I don’t know why…

I’m a huge Excel junky!! Even so, I am still missing a couple of worksheets that you listed that would come in handy!! Thanks for the tips!

PS-Never heard of Google docs…I’m googling that one later!

I heart Google Docs! I has come in super handy with the wedding… 1) I share budget spreadsheets with FH. 2) I share address spreadsheets w/ MOB. 3) I share address spreadsheets with my BM that is throwing me a shower :)

I thought that I was obsessive with my Excel Sheets. But I am so happy that I am not the only one out there.

I love Google Documents especially the Wedding Sheets they helped me branch off and add more sheets.

I have sheets for each vendor and also our budget based on total amount of guest. We have 4 different scenieros

I’ve never really considered myself in love with Excel - it’s just an essential tool I can’t do anything without!

I also have a huge wedding file - it keeps me organised. Plus, it means I can update it at work without anyone noticing (don’t tell me you guys haven’t done it).

My worksheets:-
To Do (split by month)
Budget (incl estimated vs actual)
Countdown (yes, I made an Excel countdown to the wedding!)
Calendar
Readings
Vendor information
Music

Plus separate spreadsheets for guests and food options!

@Miss Rye Bread: & @Crash:

I’m not sure I have anything you ladies haven’t already thought of, but here are the ideas I’ve jotted down for keeping my mom involved in the wedding (sidenote: because I have a lot of “non traditional” ideas and tend to just find things and buy ‘em, Momma Stiletto has been feeling out of the loop):

-See if my grandma’s silver has anything that could serve as cake cutter/server
-Brainstorm “something old” together (lace from her wedding dress?)
-Brainstorm “something borrowed” together (jewelry from both grandmothers)
-Make sure she’s attends at least one dress fitting
-Make sure she meets with the florist with me
-Work on ceremony decorations together
-Make sure she helps with seating chart
-Make the card box/holder together
-Have her make the table runners (she likes to sew!)
-Make other trays/containers for candy buffet
-Find anything that I COULD buy online (ie tealights, ribbons, etc) but hold off on purchasing so we can go shopping together

Honestly, it’s all little things…but it’s probably the little things that she feels like she’s missing out on! Hope this helps ladies. Would love to hear how others are keeping their moms in the loop!

Excel! Like you, I got in on a job for fibbing a little on my Excel expertise, but boy, I have learned so much from work now that I am that job!

Again, I don’t have quite as many spreadsheets, but Budget/Guest List/Guest Info/Music are the few tabs I have created. I should start a registry! Great idea!

I heart Excel as well. I have a “wedding Lists” file running with 9 tabs - from the guest list to the bridemaids and gifts. Then I found Martha. You know she has all those planning tools?! I use both in tandum and I’m constantly checking Martha for my seating arrangements (you can move tables around a fake room!) and my budget. I love wedding tools… I guess I am a wedding tool:) Haha.

I use Excel all day everyday at work, but I still love it for setting up spreadsheets!! I have everything in excel from our guest list (which links to another tab with the names concatenated & addresses, which then links to our mail merge document to print labels!!) to our venue layout (I set up Excel like graph paper with square cells, it works great!)!!!

I also love OneNote for all my inspiration!!
