Our Venue and Catering Contracts

While doing a bit of cleaning this past week, I stumbled on my old wedding planning folder.  I found some of our vendor contracts, so I thought I’d share them with you!  Keep in mind that these are prices from March 2005, but I think showing what was included in our contracts may be helpful.

Mr. Bee and I got married at the Westside Loft, a beautiful 210 person capacity, 9500 square foot loft in midtown Manhattan.  It had 4 distinct areas — the room with the fireplace where we held our ceremony, the reception area (a quintessential New York loft space), a cozy lounge area with sofas, and a lovely garden room.

I actually found a picture of our wedding on their website!  They must have taken this picture at some point during set-up because that big tree on the right was definitely moved before our wedding started.

We also used their in house catering, James Catering.  We had approximately 100 guests and for $140 per person we got:

  • 5 hour event
  • 9 passed hors d’oeuvres (15 per person)
  • stationery hors d’oeuvres - crudites with dip, cheese, crackers, fruit, pate w/ apple slices and biscuits
  • appetizer, choice of 2 entrees, 3 side dishes
  • dessert: cake, cookies, fruit, coffee/tea (if we provide our own cake, a $3.50 credit per person is issued)
  • tables, white padded chairs, china, linens, glassware and silverware (chiavari chairs were $4 extra, so we opted for the upgrade)
  • 1 staff per 8 guests including bartenders
  • dinner provided at no cost for photographer, band, and videographer
  • bar set-ups but we provide liquor (a huge money saver for us)
  • all service charges included
  • New York state tax added to final bill
We were very disappointed with the cake, which was the wrong color, but the food was delicious and everything else was pretty seamless.
 
We loved our venue, but it did come with a hefty price tag and it was our biggest splurge - $7000 for a Saturday evening rental. 8O  That cost included a 10 hour rental until 1 am — there was no venue that came close to offering us that much time!

wait, so it was $ 7000 to rent it and then $140 per person after that?

@Lindsay: yes the venue charge and catering charge was separate.

Our bill for our reception venue (didn’t have the ceremony there) for 200 people was around 20K, but that included all the food, open bar, etc. 8O But, we only had the place for about 5 hours and it went WAY too fast, so you were quite lucky to get your place until 1am!

Mrs. Bee for NYC that is probably a great price and everything you got and how many hours you got the place for. BTW I love the candles and the flowers…very beautiful. We’re in Philadelphia at Glen Foerd…we got the place for 5 hours which includes their catering rate which is $100-$118 per person and we’ll probably have about 75 people. It includes tables, linens, chairs, open bar, cake, hors d’oeuvres, appetizer, sit down dinner, and ceremony. We have to pay a fee for our vendors meals and I think tip for their bar tender and staff. We are still about a year from our wedding but they gave us a preprice which came to $11,000. We’re pretty happy and excited about Glen Foerd!

Our venue contract is breaking down roughly to $70 a person. This includes the site rental (outdoor ceremony area, outdoor cocktail hour, indoor dinner area, and outdoor dancing area on golf course), all tables, chairs, linens, china, barware, bardenders, open bar all night, passed hors d’oeuvres (10 pieces per person), plated dinner with wine, champagne, salad/soup course, and entre, staff, on site coordinator, and all taxes and gratuity.

My venue and catering contract includes a ceremony spot outdoors, a one hour cocktail hour, and a two hour lunch reception. There will be an open bar for two hours, butler passed hors d’oevres, and a three course meal culminating in (hopefully the right color!) wedding cake. They provide the linens, chairs, everything. Even a sound system for our iPod! All in all it was $105 per person for all that. Totally worth it!

My venue and catering contract includes the ceremony, cocktail hour and 4 hour reception. We have open bar all night. 8 passed hors d’oeuvres, 3 stations, appetizer, intermezzo, 2 entree choices, dessert buffet with cordials and wedding cake. Our venue has a minimum of 200 people on Saturday. But since we are having the wedding during their low season, we got it for 150 ppl and no venue charge.
