Sometimes I suspect that if a scientist looked at a cross-section of my brain, things might actually be divided up into neat, color-coded, size-ordered, alphabetized compartments in there. As I’ve said before, I am a compulsive organizer; it really helps me think, and keeps me from getting stressed. Wedding planning can be quite a beast when you think about aaaaalll the things that need to be planned, done, and coordinated, but I’ve had a pretty smooth time working through it all so far. The tools I’ve used to stay on track have been super-helpful, and I’ve felt mellow about the wedding about 90% of the time (which is a pretty good track record, I think!). So, I thought it might help anybody who’s getting a little bit swallowed up by all the STUFF involved in wedding planning if I shared some tips on the organizational things I do to keep myself sane.

Contracts Binder:

I only use my binder for information from and contracts of vendors we’ve already booked. I like having one place to keep all my set-in-stone, binding documents. You can prepare this way before you actually sign with anybody–I did! I bought a bunch of el cheapo dividers at Target, labeled them with the vendors I knew we would need to book, and have been filling them in with the contracts of the people we’ve chosen as things move along.

I carry this thing with me everywhere. I picked one with lots of room and wide-spaced lines, so I can list appointments, my daily to-do list, and jot down a little note if I exercised (part of my new accountability plan for wedding fitness!). I also break down some of my big tasks into smaller, more manageable daily stuff. It’s also really helpful to remember all the appointments set up for our periodic trips to Pittsburgh.

Budget Spreadsheet:

I made my own budget tracker in the Google Docs version of Excel. I plugged our overall budget number into the tool on Martha Stewart’s wedding website to put together a basic budget plan, which I then customized based on costs I already knew about or thought I could reasonably change. My budget spreadsheet is divided into the various categories where all the money’s going. Once I come up with the totals spent for each item, I color-code the expense according to who paid for it. The over/under column helps me keep track of places where I went over the planned expense, or under it.

Giant To-Do List:

I have a master list of things that need to get done between now and our wedding in September. Like my budget spreadsheet, it’s also a Google Doc. I used my favorite (and only) wedding-planning book to come up with a basic idea of tasks that would need to be done as the months go by, and I add my own notes as they come up. I keep it updated several months in advance, because I like knowing what I’ve got ahead of me.

Miss Scissors already told you all about this one, but I’ve got to throw my weight behind it, too. I don’t own any other wedding planning guides at all. This book is so comprehensive and helpful—whenever I’ve got a dilemma or am wondering about something, I just flip straight to the relevant chapter, and Mindy’s usually got a good answer. I have used the suggestions in this book to make a lot of wedding decisions.

This type of organization and preparation is probably not for everybody. I totally get that for some people, this kind of stuff might be intimidating or cause feelings of anxiety and pressure. But I LUUUUURRRRVE it, and if you do too, I hope these ideas were helpful!

Great resources - thanks for sharing! I have a big portfolio for hard copies of documents and then an Excel file for tracking budget, guestlist, etc.

I’m pretty sure my brain would very similar to yours lol. I’ve been coined the color-coding queen at my office ha ha. I have a binder full of every option, contract, spreadsheet, etc. that I’ve created. Not to mention the folder called “wedding” (that I know we all have on our computers ;-) ) is a filled with organized folders upon folders upon folders. Makes things so much easier! lol

I am a spreadsheet queen. and o.k., now that both you AND scissors have recommended this book, I am going to make this my next purchase. If I have everything in divided tabs, color coded, alphabatized, you name it, it just makes me feel so . . . zen about the whole planning process.

I too have a wedding planning book, but its by Amy Nebens. It’s overly stuffed right now, but its where I keep all signed contracts and the rest of the contendors and info go in a separate wedding folder.

We’re totally doing the google docs thing too! Contact list, budget, to-do list, vendor list… shared between fiance and me so either of us can edit it… it’s been a fabulous way to coordinate and remember where we “wrote that thing down”. Totally into the color-coding too :)

great system! i had a hodge podge of methods. i’m an e-document kind of gal so the biggest tool i used was a very, very overgrown google spreadsheet, and scanning in any hard copy documents.

Got that book at the library. I renewed it two times, then when I had to return it, I did and then quickly checked it out again. It’s amazing.

Great system! The only thing I would add, because it has seriously saved my sanity, is that I broke my entire to-do list down by month. Each month leading up to the wedding has a list of 10-15 tasks and the date I want it done by, so each month I ONLY focus on those things. Seeing just a few things I need to do each week instead of the dozens (hundreds??) of things that need to get done overall keeps me from feeling overwhelmed by the sheer amount of tasks.

I know that if I do everything required that month, I will be completely done with everything a week before the wedding, with the exception of the few things we can only do once we get there (destination).

I have the book too. I got it from the library and wanted to always have it on hand so I bought it on Amazon. Its got lots of places for notes and everything. I adore it. Plus I’m using Google Docs for everything. Then you can share!

I’m using all these things as well. Plus beyond my budget tracker I have a budget calendar so I know what order things are due in.

I was getting stressed out about costs but it was because I got excited about projects and wanted to do them all at once so it was costing me a lot in supplies.

Making the budget calendar helped me focus on one project at a time and therefore saved me from spending a TON of money all at once (for example - holding off on buying favor boxes and ribbons till June since I have that project scheduled then).

I have a friend who has a spreadsheet quite like yours. She has passed it on to me… I have to admit I’m a bit overwhelmed.

I think I am a bit of a fly-by-the-seat person, and I tend to store everything in my brain and on random bits of paper. I am pretty sure I need to get more organized, but I don’t know how to begin! Oh well.

oh! i just swooned reading through this. lol. i am love being organized and i always love bumping into people who are even more organized than i am. i learn so much! great tips about the contracts binder. i’m so gonna start one of those.

I’m a planner, and keep a spreadsheet on my laptop and google docs with the budget, guest lists and things like that. Also have the binder with all my contracts, love to stay organized!

I love the budget feature that Wedding Wire has. It allows you to put in the budget amount, how much you paid (the dates of payment(s) and who paid each amount and through what form of payment (eg AMEX, cash, check) — these are all customizable. And it allows you to allocate funds to another category, if you so wish, if you end up spending less than the budgeted amount (eg you spent $500 on a dress and not $800, so you can tell it to put the $300 in video). On top of that you can add when your next payment is due, and once it’s paid, you can ‘check the box’ so that it updates the total amount paid in that category and for the overall wedding.

The only downside is that there are certain things that we’re not considering part of our budget (either for tax purposes, or things that I normally would spend money on like a manicure) that I don’t have in their budget tool as there is no way to designate certain items not to be included in the total amount spent, yet I still need to pay to those specific vendors, etc. I thought about including them and then at the end of the day knowing that I should take $40 out of ‘health and beauty’ because the manicure doesn’t ‘count’ for our budget.

I also have that wedding book — and that’s the only tool I use for most of my questions/concerns! It’s great!

Love it! It’s funny, I’m not normally very organized in the rest of my life, but when it comes to wedding planning, I’m obsessive! I’ve got the binder with tabs, the expandable folder, the day planner… the works! I’ve found that it not only keeps me sane, but it also makes for a great first impression at vendor meetings! :)

Great tips! I too have a day planner. I also have a small notebook for ideas and short to do lists (the long one scares me). I also got several folders on my computer for slide shows of ideas and mock ups.
