Staying Organized

September 23rd, 2010 @ 1:41 pm by Mrs. Sushi

I can’t speak for everyone and I’m definitely not some organization queen. In fact, if you were to see my work office, it’s what I like to call an “organized mess,” but I do know where everything is located. Okay, I know where things should be located. BUT I did manage to stay pretty organized during my wedding planning. I kept everything in one binder. Everything.

I know some gals buy those nice, fancy, overpriced wedding planners, but with planning a destination wedding, a lot of what they had in those thorough binders didn’t pertain to me and my minimalist destination wedding. And I’m cheap; I used a plain, 1 inch, white binder. Now don’t get me wrong, I did spruce it up in my own way.

I had dividers separating different sections—for example, Ceremony, Reception, Travel, Receipts, etc. In each section, I had not only the agreements and contracts of each vendor (I had all our vendors that had to do with the ceremony in one section and all the vendors that had to do with the reception in another section, our hotel reservations, car rental info and travel itinerary in the travel section, etc.).

But I also kept all printed email conversations (if I dealt with them via email) and receipts of payment. I also made sure that I had every vendor’s contact information, just in case.

I had ALL papers for each vendor placed in a page protector. So, if I had a 1 page contract with my photographer, plus 2 pages of emails and 1 page invoice, they all went in one page protector. That way if I needed to find the invoice from our photographer, I knew it would be within that page protector. I also used a single page protector to keep my one-time purchases (ie. ribbon from the art store, shoes from Zappos, etc.), so that I could keep track of all my purchases (great for figuring out your final cost of your wedding later).

When traveling, I kept this in my carry-on, that way I had all my information and I didn’t have to worry about losing proof of payment or vendor contact information in any possible lost luggage.

It was really convenient to refer to my binder for our plane itinerary, then double check it for our car rental, and check again for our hotel address and reservation information…all in one swoop.

How did you stay organized?

Awesome, my binder looked very much like yours, although not as organized. I wish I was more organized, but my whole house looks like your office. sigh…

I had a very similar method. A black zip folder that had spots for business cards, pens, passports, etc. I put all of our documents into clear report covers and kept it in that binder. That thing was like my baby - I carried it with me everywhere!

We could have been binder twins; I organized mine in the exact same way! Receipts, emails, everything. I had to upgrade to a 3″ binder though, I had a lot of stuff!

I did this too! I do need to add in my emails that contain important info.

HAHA Wedding poop! I love it. It looks like everything stayed pristine which is my biggest complaint with the fancy book my MIL bought me. All the pages are ripping! It’s driving me craz-ay!

I did the same thing with page protectors, so easy.

i had a similar binder- not as awesomely decorated though (haha wedding poop- Love it!) but about midway through planning I kinda stopped using it. We used a huge envelope for our receipts and then a spreadsheet when we outgrew the envelope. *pretzel blushes*

This is exactly what I did. I tried to find a wedding planner I liked, but really I needed something down and dirty like a plain old binder and plastic sleeves. Love the “wedding poop”…that is exactly how I feel about it!

This sounds like a great way to organize everything! I never even used a binder of any kind, I did it all on an external drive that I carried in my purse.

Oh so organized! I love it. I keep everything on my hard drive which was fun when it crashed last month. You sound smart.

I’m doing this also, except that I didn’t intend to print out emails… Should I? :)

Your wedding binder looks great! Mine still has lots of inspiration photos. I’ll keep these organizing skills in mind when I start adding the contracts and receipts.
